When Systems Speak the Same Language: Explore St. Louis’ Integration Journey
Bottom Line:

Explore St. Louis streamlined operations by integrating its CRM and venue management systems, reducing duplicate data entry and manual validation while improving visibility and collaboration between sales and operations teams. The experience highlights how solving everyday operational inefficiencies can strengthen data confidence and create a foundation for future reporting, automation and AI initiatives.

For many destination organizations, conversations about technology focus on AI, automation, and advanced analytics. But for Explore St. Louis, one of the most impactful technology improvements started with solving a simpler operational problem: reducing duplicate work between systems teams rely on every day.

As a destination marketing organization that also operates a convention center, Explore St. Louis depends heavily on both CRM data and venue operations data. Sales teams work in Simpleview CRM, while event management and facility operations rely on Momentus Elite. Managing information across both platforms often required employees to manually compare meeting dates, contacts, and event information to ensure data remained aligned. That challenge led Explore St. Louis to become an early adopter of the Simpleview and Momentus Elite lead integration.

The Challenge

Like many organizations working across multiple business systems, Explore St. Louis faced operational friction caused by duplicate data management and cross-system validation.

When leads moved between CRM and venue operations workflows, teams often had to stop and verify whether information matched correctly in both systems. Even small discrepancies could slow down communication between departments or create uncertainty around events.

For an organization balancing convention sales, facility scheduling, operations, and client servicing, efficiency and visibility matter.

“We were spending too much time validating whether information matched between systems,” said Dani Keller, Business Applications Specialist at Explore St. Louis. “The work itself wasn’t complicated, but it created constant operational friction.”

The organization also recognized that disconnected systems create larger long-term challenges as organizations continue investing in automation and AI-driven reporting.

The Decision

Explore St. Louis partnered with Granicus Destinations (Simpleview) and Momentus to implement the Elite lead integration with a focus on operational clarity and process improvement.

The original integration streamlined how leads flowed between the CRM and venue operations systems, helping reduce duplicate entry while improving visibility between sales and operations teams.

Since the initial launch, the integration has continued evolving with enhancements built around real-world user feedback and operational needs.

Recent improvements include:

  • Event dates from Momentus Elite displayed directly on the lead within Simpleview alongside meeting dates for easier comparison
  • Momentus Elite contacts visible within their own dedicated tab inside Simpleview
  • Shared documents from Elite accessible directly within Simpleview

While the updates may appear small individually, together they significantly reduced the amount of manual validation employees needed to perform between systems.

“One of the biggest improvements for me personally is no longer needing to constantly cross-check information between both platforms,” Keller said. “The visibility is now built directly into the workflow.”

The enhancements also improved confidence in the data itself. Instead of employees spending time confirming whether information matched, teams could focus more on decision-making, communication, and client service.

The Outcome

The integration helped create stronger alignment between departments that rely on shared information every day.

Sales teams gained improved visibility into operational details, while event management and facility teams benefited from more consistent lead information flowing from CRM into venue operations workflows. Cross-department communication became more streamlined because teams were referencing the same connected data points rather than comparing systems manually.

For Explore St. Louis, the project became less about technology alone and more about reducing friction that employees had quietly accepted as part of their daily work.

The integration also supported broader organizational goals around data governance, process consistency, and long-term reporting reliability.

As organizations continue modernizing their systems, connected and trustworthy data becomes increasingly important not only for operations, but also for future automation and AI initiatives.

For Keller’s role specifically, the operational improvement was immediate.

“I spend far less time acting as the middle layer between systems,” Keller explained. “That gives me more time to focus on process improvement, reporting quality, and strategic initiatives instead of data comparison.”

The project reinforced an important lesson for smaller organizations navigating digital transformation: meaningful innovation does not always need to be flashy. Sometimes the biggest impact comes from eliminating inefficiencies employees experience every day.

What They’d Tell You

Explore St. Louis encourages organizations considering integrations to focus less on the technology itself and more on the operational pain points teams experience daily.

Successful integrations are not just IT projects. They impact communication, trust, collaboration, and the overall confidence employees have in the systems they use.

The organization also emphasizes the importance of continuous improvement after launch. Some of the most valuable enhancements came from real operational feedback once teams began using the integration in their day-to-day workflows.

Key Takeaway

Small operational inefficiencies add up quickly across organizations managing multiple platforms. By improving integration between CRM and venue operations workflows, Explore St. Louis reduced duplicate validation work, improved visibility between departments, and created a stronger foundation for future reporting and operational initiatives.

Sometimes the biggest technological win is simply helping teams trust that their systems are finally speaking the same language.
